Converter

In the converter, you turn existing invoice documents into reusable invoice data. Billance gives you two paths for this: Billance AI for automatic online recognition and local processing with a template.

The Two Converter Modes

Billance AI

This mode is useful when you want to work without a fixed template.

That means:

  • Recognition runs online through Billance AI
  • An internet connection is required
  • The feature depends on your Premium quota
  • Before starting, you can review the preview, page usage, and remaining quota

Local with Template

This mode is useful for recurring document layouts.

That means:

  • Recognition works with a matching converter template
  • You first choose the template you want to use
  • The document is then processed locally
  • If needed, you can correct data manually afterwards

Supported Files

Billance currently processes the following in both modes, among others:

  • PDF documents
  • Image files such as PNG, JPG, JPEG, WEBP, or AVIF
  • Office documents such as DOCX, ODT, XLSX, or XLSM

If a document first needs to be converted into a suitable format, Billance handles that automatically where appropriate.

Working with Billance AI

In AI mode, you can select multiple files and merge them into one conversion run if needed.

Before the actual scan starts, you can review things such as:

  • a preview of the selection
  • the expected page usage
  • your remaining page quota
  • for PDF and Office files, the option to exclude individual pages in advance

After recognition, you can review the detected invoice data, adjust individual values, and create an invoice in Billance directly from the result.

Working with Local Processing

In local mode, the usual flow is:

  1. Select a converter template
  2. Load a document
  3. Wait for automatic recognition
  4. Review detected fields and extracted text
  5. Manually assign or correct data if needed
  6. Create an invoice from the result

If no matching converter template exists yet, Billance guides you directly to the template area.

Preview, Review, and Manual Assignment

After processing, Billance shows you a preview of the detected data.

There you can, for example:

  • check detected invoice fields
  • inspect the extracted text
  • switch to manual assignment when needed
  • then transfer the data into a new invoice

This is especially useful when a document has an unclear layout or when individual values were not detected cleanly.

OCR Download for Scanned Documents

For scanned or image-based documents, Billance may require a one-time OCR resource download.

If that is necessary, the app shows the notice directly in the converter. After that, recognition is also available for those file types.

When Each Mode Makes Sense

  • Billance AI: useful for changing layouts or when you do not want to build templates first
  • Local with template: useful for recurring layouts and clearly structured document patterns

Many users work with both modes in parallel, depending on how the document is structured.
