Invoice Templates

This page is where you create and manage your invoice templates. A template stores frequently used settings, texts, and defaults so new invoices can be created faster and stay consistent in day-to-day work.

What Invoice Templates Are For

An invoice template can define items such as:

  • Default recipient and internal contact person
  • Due date, payment method, and default payment account
  • Currency, date format, and price mode
  • Default tax logic and e-invoice options
  • Subject, introduction, closing text, and default line items

When you later create a new invoice from a template, Billance fills these values in automatically.

Page Layout

The page is built as a template list with a detail area:

  • Left: All existing templates with search and a create button
  • Right: The settings of the currently selected template

This lets you switch between templates quickly and edit the right one directly.

Create a New Template

  • Click "Create New Template" on the left
  • Enter a name and, if needed, a description
  • Then configure the desired defaults in the different tabs
  • Use Save to store the template permanently

Billance also tells you when required fields such as the template name are still missing.

What You Can Define in a Template

Depending on the section, you can control things such as:

  • General: Name, description, icon color, and default state of the template
  • Recipient: Default recipient and internal contact for new invoices
  • Settings: E-invoice on/off, output mode, invoice type, reference number, currency, date format, price logic, and due date
  • Texts: Subject, introduction, and closing text with placeholders
  • Tax: Tax region, tax type, and default tax rate
  • Payment: Payment method, default payment account, cash discount, and payment terms
  • Line Items: Default line items plus additional charges, allowances, and further presets
  • Metadata: Additional e-invoice fields when the template is used for structured invoices

Default Template & System Templates

  • You can mark one template as the default template
  • It will then be preferred automatically for new invoices
  • Some templates already exist as system templates
  • System templates can be reset so their original defaults are restored

Working Directly from a Template

From the action menu, you can create a new invoice directly from a template. Billance applies the stored values immediately to the new draft.

Notes for Free & Premium

  • The built-in standard template can also be used without Premium
  • Additional free invoice templates and advanced variants are Premium features
  • If a template or feature is locked, Billance shows this directly in the interface
