Instructions for the Billance desktop app on Windows, macOS and Linux.

On the free plan you write standard invoices without a limit. E-invoices in ZUGFeRD or XRechnung format have an allowance: one new e-invoice document is free every 30 days. If you need more, you pay for extra e-invoices with credits or switch to Premium.

How the 30-day period works

The period belongs to your Billance account and starts when you create the account. It runs in fixed 30-day blocks and does not follow the calendar month. Once your free e-invoice is used, Billance shows the date from which the next one is available.

Drafts and the preview use nothing. Billance only counts an e-invoice once it is actually generated.

Confirmed email address

A new e-invoice requires a confirmed email address on your account. This applies to the free e-invoice and to e-invoices paid with credits. If you have not confirmed the address yet, enter the code from the confirmation email or open the link in it. E-invoices you already created are not affected.

More e-invoices with credits

Once the free e-invoice of the period is used, each additional one costs 10 credits. Within the same period you can create up to 10 extra e-invoices this way.

Before Billance deducts credits, you see the price for this document, your balance before and after, and how many credit e-invoices are left in this period. Credits are only deducted once you confirm and the e-invoice is created.

  • If your balance is too low, you can buy credits or switch to Premium
  • After 10 credit e-invoices, you can continue from the date shown, which also brings a new free e-invoice
  • Credits never expire, so any unused balance stays for later

Packs and purchasing are covered in Credits for Billance AI and e-invoices.

Converted invoices count towards the price

If you created the document with Billance AI from a PDF, scan or photo and paid for the analysis with credits, Billance subtracts those credits from the price of the e-invoice. A two-page PDF costs 2 credits, and the e-invoice from it 8 more. From 10 analysed pages on, the e-invoice costs nothing extra. It still counts towards the 10 e-invoices of the period. Each conversion is counted only once.

What is fixed once it is created

A created e-invoice is tied to its invoice number, recipient, currency and total amount. You can then generate, export and send the same document again as often as you like, free of charge and offline too.

Correcting an address is fine, and so are changes to capitalisation or spaces. If you change the number, recipient or amount, though, Billance no longer creates an e-invoice from this document. For a different invoice, start a new document.

Checking your allowance in the desktop app

In the invoice form, the Document Output sidebar shows below Enable e-invoice whether your free e-invoice is still available. Underneath you see how many credit e-invoices are left in this period, what one costs and how many credits you have. Buy credits takes you straight to the packs.

If you write several e-invoices a month, Premium costs less. E-invoices are unlimited there and cost no credits. The plans are on the pricing page.
