Create invoices, quotes and other documents in Billance: line items, taxes, drafts and finalization step by step.

Instructions for the Billance desktop app on Windows, macOS and Linux.

The document editor creates invoices, offers, order confirmations, delivery notes, and recurring invoices. Credit notes, cancellations, and reminders are created as follow-up actions from a suitable source document. Advanced document types are Premium features.

Document content

Depending on the document type, you edit the sender profile, template, recipient, line items, texts, payment details, additional data, attachments, and references. E-invoice formats are available only for supported invoice and correction types; offers, order confirmations, and delivery notes are not generated as e-invoices.

Save, finalize, and generate

A new document starts as a draft. Finalizing locks the document number and starts the workflow for its document type. Generated PDF or XML files can be opened, shared or sent, and validated where supported.

Follow-up actions and document chain

Matching actions transfer data into a new draft and link predecessor and successor. Examples include offer → order confirmation/invoice, order confirmation → delivery note/invoice, delivery note → invoice, and invoice → credit note, cancellation, reminder, or delivery note. Billance opens an existing active successor of the same type instead of silently creating a duplicate.

Working in the desktop app

Use + in the tab bar to start a new document. Each tab holds its own draft, and a dot marks unsaved changes. Tab and document menus provide Save, Save as new, Save as template, and Close. Generated files can also be revealed in the file explorer or printed.

Templates

Billance prefers the default template selected for the document type. Suitable drafts can be saved as templates and reused later. Converter results are transferred into a new invoice draft.
