Document Templates

Create document templates in Billance: line items, tax scheme, payment terms and output format defined once.

Instructions for the Billance desktop app on Windows, macOS and Linux.

Document templates store frequently used content and defaults. Templates are managed separately for invoices, offers, order confirmations, delivery notes, credit notes/cancellations, recurring invoices, and reminders.

Stored values

Depending on the document type, a template can contain items such as:

  • Recipient and internal contact person
  • Subject, introduction, closing text, and text variables
  • Line items, currency, price mode, and date format
  • Tax treatment and default tax rate
  • Payment method, payment account, payment due period, cash discount, and payment terms
  • E-invoice format and additional references where supported by the document type
  • Assigned design template and document-specific values

Default template

Each document type can have its own default template. Billance prefers it for new documents of that type. System templates provide the starting point; original system values are restored only through the dedicated reset action.

Desktop app

Using the desktop app

Choose the document type first. The page then shows the template list on the left and details on the right. Use New template to create one; actions provide Duplicate, Set as default, Reset, Delete, and direct document creation.

Data across devices

Templates synchronize through the shared data format. Unknown fields from other platforms remain intact during editing. Changes should therefore replace only the values actually edited.

Free & Premium

The built-in system template can be used without Premium. Creating, duplicating, deleting, saving as a template, and additional custom templates are Premium features. Existing templates remain stored after a downgrade.
