Maintain the Billance product catalog: articles, services, categories, units with BT-130 code plus CSV import and export.

In the product catalog you create articles and services once and add them to documents with a single click. That saves typing and keeps the description, price, tax rate and unit identical everywhere.
Create a product
- Open Products
- Select New product
- Enter the description, price, tax rate and unit
- Assign a category and save
Billance assigns the article number automatically from the product number range. When creating a document you find saved products through the search field in the line item row.
Categories
By default there are Articles for physical goods and Services for services and hours. Custom categories are a Premium feature; default categories can be hidden if you do not need them.
If a category that still contains products is deleted, Billance asks what should happen: move the products to another category or delete them as well.
Units and the e-invoice
Every unit carries an identifier that matches the UN/CEFACT code of BT-130 in the e-invoice. This is the only way a line item can be transmitted correctly in an XRechnung or ZUGFeRD invoice. For the PDF output you can additionally store a singular and plural form so that "1 pack" and "2 packs" are printed properly. Custom units are a Premium feature.
Number ranges per category
On request every category gets its own product number range. When switching back to a shared number range you decide whether existing numbers are kept or all products are renumbered. Details are described in the article about number ranges.
Import and export
Products can be imported and exported as CSV. You can create an empty template file with the matching columns and fill it in a spreadsheet application. Only valid rows are imported; the number of imported products is reported afterwards.
Desktop app
Using it in the desktop app
The product catalog opens through Products in the sidebar. Categories sit as cards above the table, and the table itself can be sorted by product, price and creation date. Import, export and the product settings are in the action menu in the top right corner.
A company profile is required
Products, categories and units always belong to a company profile. Create a profile under My Company first if the catalog is not available yet.
