Create and Convert Offers

Write quotes, track them and convert them into an order confirmation or invoice with a single click.

Instructions for the Billance desktop app on Windows, macOS and Linux.

An offer is a dedicated document type for proposed services and prices. Whether and for how long it is legally binding depends on its content, wording, and circumstances; Billance therefore does not automatically assume that every offer is non-binding.

Create an offer

Enter the recipient, line items, texts, and Valid until date. A draft can be saved without that date, but PDF generation requires it. Offers use their own number range and dedicated document, text, and design templates. Advanced document types such as offers are Premium.

Finalize and manage status

A new offer starts as a Draft. Finalizing locks the offer number and changes the status to Open. You can then mark it as accepted, rejected, or expired. An open offer is automatically treated as expired after its valid-until date passes.

Convert to an invoice

Open or accepted offers can be converted to an invoice. Line items, design, and offer reference are transferred into a new invoice draft. The document chain links both records. When the generated invoice is finalized, Billance marks the offer as invoiced. Rejected, expired, or already invoiced offers cannot be converted again.

Using the desktop app

Start the offer with + in the document tab bar. Status and conversion actions are available from the header menu and the document manager's right-click menu. The new draft opens in its own tab.

Output

Offers are generated as PDF or JSON, not as e-invoices. They do not include a payment due date or payment-request block because they are not invoices yet.
