Manage invoices in Billance: statuses, incoming payments, filters and search in the document overview.

Instructions for the Billance desktop app on Windows, macOS and Linux.

Document management contains invoices, offers, order confirmations, delivery notes, credit notes/cancellations, recurring invoices, and reminders. Document type, status, search, and further filters narrow the view.

Folders, archive, and trash

Folders organize the regular document areas. Creating new folders is Premium; existing folders remain after a downgrade. Archived documents are in the archive view, while deleted documents are in trash and can be restored depending on their state.

Status and quick actions

Available actions depend on document type and status. They include Edit, Open file, Finalize, Change status, Record payment, Archive, Delete, Validate, and create a matching follow-up document. Recurring invoices can be activated, paused, or run immediately when needed.

Using the desktop app

Breadcrumbs and arrow buttons navigate the folder history. You can switch between list and tile views and sort table columns. Right-click opens the context menu. Use Ctrl/Cmd + click, Shift + click, and Ctrl/Cmd + A for multi-selection; drag and drop moves documents and folders. An opened document appears as a tab.

Recurring invoices

The overview shows the next and previous execution plus the active state. Automatic runs generate a new regular invoice document when due; a manual run can intentionally start the same process immediately.
