Finalization, History & File Integrity

Work in an audit-proof way: locking receipts, an unchangeable change history, retention periods and checksums.

Instructions for the Billance desktop app on Windows, macOS and Linux.

Finalizing protects a reviewed receipt from normal editing. The audit history records relevant actions, while integrity checking compares local original files with their stored SHA-256 hash.

Finalize

Review content, amounts, tax data, payments, and attachment before confirmation. A finalized receipt can still be viewed, archived, and used in supported follow-up workflows, but its regular business data is locked.

Audit history

History shows creation, edits, status changes, finalization, and further relevant events. Audit entries synchronize as business data; absolute local file paths are not transferred to other devices.

Integrity check

The check processes only locally available original files. Unchanged means the current file still matches its stored hash. Missing or Changed requires manual investigation. Files are not sent to an AI service and no allowance is consumed.

Desktop app

Finalization and history are available in the receipt editor. Open the batch integrity check from expense management.

Finalization and integrity checking are Premium features.
